OLY AI Assistant Guide

OLY AI is our built-in artificial intelligence assistant powered by GPT-4.1. It can help you with tasks across the entire OLY system — from generating documents to answering questions about company policies.

Getting Started

How to Access OLY AI

  1. Look for the AI chat icon in the bottom-right corner of any page
  2. Or navigate to the OLY AI module from the sidebar
  3. Type your question or request in natural language

What OLY AI Can Do

📝 Document Operations

  • Create documents: "Create a sales invoice for ABC Corp for 5,000 ETB"
  • Search documents: "Show me all pending leave applications"
  • Summarize: "Summarize the last 10 support tickets"
  • Generate reports: "What were total sales last month?"

📚 Wiki & Knowledge

  • Search wiki: "What is our leave policy?"
  • Create wiki pages: "Create a wiki page about the new dress code policy"
  • Update content: "Update the onboarding page with the new checklist"

Tips for Best Results

  1. Be specific: Instead of "show sales", say "show sales invoices from January 2024"
  2. Use natural language: Talk to it like a colleague
  3. One request at a time: Break complex tasks into steps
  4. Provide context: "Create a quotation for printing services — 500 brochures A4 full color for ABC Corp"

Conversation Management

  • Each chat session maintains context — follow-up questions work naturally
  • Start a new conversation for unrelated topics
  • Your chat history is saved and can be reviewed later
  • Conversations are private to your account

Limitations

  • OLY AI cannot modify system settings or permissions
  • It cannot access external websites or systems
  • For sensitive operations (delete, bulk changes), it will ask for confirmation
  • Response quality depends on how clearly you phrase your request
  • Maximum context: 16,000 tokens per conversation
