Print formats for invoices and other documents
A Print Format is the layout of a document when you print it, save it as PDF or email it. Every document type has a standard format. You can choose which format is the default, and your consultant can design a branded one for you.
Before you start
- You have the System Manager role.
- Your company details and letter head are correct. See Company details, logo and letter head.
What an invoice must show
Your Sales Invoice print must show at least:
- Your company name, address, TIN and VAT registration number.
- The customer's name, address and TIN (when the customer has one).
- The invoice number and date.
- Each item with quantity, rate and amount.
- The total before VAT, the VAT (15%) amount, and the grand total in ETB.
If your current format is missing any of these, do not use it for customers. Ask your OLY ERP consultant.

Do the same for other documents you send out: Quotation, Sales Order, Delivery Note and Purchase Order.
Get a branded print format
- Collect what you want: a sample of your current paper invoice, your logo, any bank details or terms to print.
- Open a ticket at oly.et/issues and ask for a branded print format for the document type.
- Your consultant designs it, and you check a test print before it becomes the default.
Good to know
- Always check a test print after any change to formats, taxes or company details.
- If several formats are listed, tell your users which one to use, or set it as the default so they do not have to choose.
- Do not edit a branded format yourself unless you were trained to. A small error can break the layout. Ask your consultant instead.
- Delivery Notes usually do not need prices. Your consultant can make a format that hides them.
