Each Attendance record says what an employee did on one day: Present, Absent, On Leave, Half Day or Work From Home. Payroll uses these records to count paid days. There are three ways to get them.

Before you start

1. Mark attendance by hand

For one employee and one day:

  1. Go to HR > Attendance > + Add Attendance.
  2. Select the Employee, the Attendance Date and the Status.
  3. Click Save, then Submit.

For many employees on one day, use the Employee Attendance Tool (search for it). Select the date, tick the employees, and mark them Present or Absent.

For one employee on many days, open the Attendance list and click Mark Attendance.

2. Attendance from check-ins

If you use a fingerprint or face device, or staff check in on the system, each punch becomes an Employee Checkin with a Log Type of IN or OUT. Your consultant connects the device.

When the shift has Enable Auto Attendance, OLY ERP turns the check-ins into Attendance after the shift ends. It works out Present, Half Day or Absent from the hours worked, and marks late entry and early exit.

  • Attendance for a day is made later, not the moment someone checks in. Absent days can appear a day after that. If the last day or two look incomplete, wait before you report a problem.
  • Staff must choose the right Log Type. A check-out recorded as IN gives wrong hours.
  • Do not edit check-in times to "fix" a day. Use an attendance request instead.

3. Attendance request

When an employee forgot to check in, worked from home, or worked outside the office, they (or HR) create an Attendance Request:

  1. Go to HR > Attendance Request > + Add Attendance Request.
  2. Select the Employee, the From Date and To Date.
  3. Select the Reason: Work From Home or On Duty (work for the company away from the office).
  4. Write a short Explanation. Click Save.
  5. The approver checks it and clicks Submit. OLY ERP then creates the Attendance.

Example

On 2026-10-21 Dawit visits a supplier in Adama all day and cannot check in. He creates an Attendance Request, Reason "On Duty", with the explanation "Supplier visit, Adama". His manager submits it. His Attendance for that day shows Present.

Good to know

  • Check attendance every week, not only at month end. Missing punches are easier to explain while people remember.
  • To correct a submitted Attendance, Cancel it and Amend. Ask HR first if payroll for that month is already submitted.
  • Use the Monthly Attendance Sheet report to see the whole month for all staff before payroll.
