Request materials (material request)

A Material Request is an internal request: "we need this, by this date". The store or production team makes it. Purchasing then turns it into a purchase order. It does not change stock or accounts.

Before you start

  • The items exist, for example "Corn grits" (unit Kg) and "Printed film, cheese" (unit Roll).
  • You know which warehouse the materials should go to, for example "Raw Materials - EF".

Steps

  1. Go to Stock > Material Request (also in Buying) and click + Add Material Request.
  2. Set Purpose to Purchase.
  3. Set Required By, for example 2026-10-25.
  4. Set Set Target Warehouse, for example "Raw Materials - EF".
  5. In Items, add each Item Code and Quantity. Example: "Corn grits", 2,500 Kg (50 bags of 50 kg). "Printed film, cheese", 20 Roll.
  6. Check the UOM on each row. If you enter bags, the system converts to Kg using the conversion set on the item.
  7. Click Save, then Submit.

What purchasing does next

From the submitted material request, purchasing clicks Create and chooses one of:

  • Purchase Order to order directly from a known supplier.
  • Request for Quotation to ask several suppliers for prices. Each supplier's answer is entered as a Supplier Quotation, and the chosen one is turned into a purchase order with Create > Purchase Order.
  • Supplier Quotation to record a price offer you already received.

The material request status changes to Partially Ordered, Ordered, and Received as the steps are done.

Good to know

  • Your system can create material requests automatically when stock falls below a re-order level set on the item. Your consultant sets this up during onboarding.
  • Other purposes exist, for example Material Transfer to ask for stock from another warehouse. See Move stock between warehouses.
  • If the need is gone, open the request and use Stop so purchasing does not order it.
  • Your company may need a manager to approve requests. Your consultant sets up any approval steps.
