Price lists and item prices
A Price List is a named set of prices. Each price in it is an Item Price. When you pick a customer, OLY ERP uses that customer's price list and fills in the rate for each item. Use this page when you set prices for the first time or when prices change.
Before you start
- The items must exist. See Items, item groups and units of measure.
- Most companies have Standard Selling already. Your consultant may also add others, for example "Distributor".
Create a price list
- Search for Price List in the search bar and open the list.
- Click + Add Price List.
- Enter the Price List Name, for example "Distributor".
- Set Currency to ETB and tick Selling.
- Click Save.
Add an item price
- Search for Item Price and click + Add Item Price.
- Choose the Item Code, for example "Corn snack 50 g, cheese".
- Choose the Price List, for example "Distributor".
- Check the UOM. If you sell in cartons, choose "Carton" so the price is per carton of 48 packs.
- Enter the Rate, for example 1,000 ETB per carton. Enter the price before VAT. VAT is added by the tax template on the document.
- Optional: set Valid From and Valid Upto if the price is for a limited time.
- Click Save.
Change a price
- Open Item Price and filter by Item Code and Price List.
- Open the row, change the Rate and click Save.
The new price is used on new documents only. Documents already made keep their old price.
Which price list is used
- On a quotation, sales order or invoice, the Price List field (in the Currency and Price List section) decides the prices.
- It comes from the customer's Default Price List. If that is empty, it comes from the default in Selling Settings, usually Standard Selling.
- You can change the price list on a draft document. The rates update for all items.
Good to know
- Keep one price per item, price list and unit. Two prices for the same item and unit cause confusion about which is used.
- Discounts and special offers can also be set up as Pricing Rules (for example a discount for orders above a quantity). Your OLY ERP consultant sets these up during onboarding.
- If a rate stays at zero on a document, the item has no Item Price in that price list, or the unit is different.
- Who can change prices depends on roles. Ask your system admin to limit this to a few people.
