Payroll reports and month-end checklist

After the payroll is submitted, you need the figures for the bank, for the pension filing and for the income tax declaration. They all come from the submitted salary slips.

Before you start

  • The salary slips for the month are submitted. Draft slips do not appear in the reports below unless you choose to include them.

Salary Register

The Salary Register shows one row per salary slip, with one column per salary component.

  1. Search for Salary Register and open it.
  2. Set From and To to the payroll month dates (for example 2026-10-11 to 2026-11-09).
  3. Set Document Status to Submitted.
  4. Check the totals at the bottom: gross pay, each deduction and net pay.
  5. Click the menu and Export to Excel if you need a working file.

Figures for filing

From the Salary Register for the month:

  • Pension: total of the employee pension column (7%) plus the employer pension column (11%). This is the amount you pay to the social security office.
  • Income tax: total of the income tax column. This is the employee income tax you declare and pay to the tax office.
  • Net pay: total paid to employees. It should match the bank payment.

Fill in the official forms with these figures and file them by the legal deadline. Your accountant pays the pension and tax from the payable accounts, usually with a Journal Entry or Payment Entry.

Other useful reports

  • Monthly Attendance Sheet: attendance for every employee and day of a month.
  • Employee Leave Balance: leave used and left for each employee.

Month-end checklist

Example Foods PLC follows this list each month. Selam (HR) does steps 1–4. Meron (accountant) does steps 5–10.

  1. New joiners have an Employee record and a submitted Salary Structure Assignment.
  2. Leavers have a Relieving Date and status Left.
  3. Attendance is complete. Missing check-ins are covered by attendance requests.
  4. All leave applications are submitted. None are left Open.
  5. Overtime and one-off amounts are entered as Additional Salary.
  6. The Payroll Entry uses the right Ethiopian month dates.
  7. Draft slips are reviewed. Unusual amounts are explained.
  8. Slips are submitted and salaries are paid.
  9. Pension and income tax totals are taken from the Salary Register and filed.
  10. The payroll payable, pension payable and income tax payable accounts are cleared in the General Ledger.

Good to know

  • In the first months, check a few slips by hand against the Income Tax Slab result. Report any difference at oly.et/issues.
  • Keep the exported Salary Register with the filed forms each month.
  • If the register total and the bank payment differ, find the slip that causes it before you file.
