Move stock between warehouses
When goods move from one place to another inside your company, record it with a Stock Entry of type Material Transfer. The quantity leaves the source warehouse and arrives in the target warehouse. Nothing is bought or sold.
Before you start
- Both warehouses must exist. See the warehouses page.
- You need the Stock User role.
- Count what you are actually moving. The entry should match what physically left the shelf.
Steps
Transfer stock
Example: Abebe sends 10 Bags (500 Kg) of corn grits from "Raw Materials - EF" to "Work In Progress - EF" for today's production.
- Go to Stock in the sidebar and open Stock Entry, then click + Add Stock Entry.
- Set Stock Entry Type to Material Transfer.
- Set Default Source Warehouse to "Raw Materials - EF" and Default Target Warehouse to "Work In Progress - EF". Every row uses these unless you change it.
- In the Items table, select the Item Code "RM-CORN-GRITS".
- Enter Qty 10 and set UOM to Bag. OLY ERP converts this to 500 Kg.
- If the item has batches, select the Batch No you are moving.
- Add more rows if you move several items together, for example 4 Rolls of printed film from "Packaging - EF".
- Click Save, check the rows, then click Submit.
The stock only moves when you Submit. A saved draft changes nothing.
Other common stock entry types
- Material Issue: stock leaves a warehouse and is used up, with no target warehouse. Example: samples given away, or damaged goods written off. OLY ERP posts the value to an expense account.
- Material Receipt: stock arrives in a warehouse without a purchase. Example: a returned sample you get back. Do not use it for supplier deliveries; use a Purchase Receipt for those.
- Manufacture: used by production to consume raw materials and receive finished goods. Your consultant sets this up for your production process.
Good to know
- If you made a mistake on a submitted entry, click Cancel, then Amend to make a corrected copy. See the document lifecycle page.
- OLY ERP stops you if the source warehouse does not have enough stock. Check the balance first, or check that the earlier receipt was submitted.
- Material Issue reduces your stock value. Your accountant may want to approve large issues before you submit.
- Use the Stock Ledger report to see every movement of an item, including transfers.
