Create a sales order
A Sales Order is the customer's confirmed order. It tells the store what to deliver and when, and it tracks how much has been delivered and billed. It does not change stock or accounts by itself.
Before you start
- The customer and items exist.
- If you sent a quotation, create the sales order from it so nothing has to be typed again.
Create from a quotation
- Open the submitted Quotation.
- Click Create > Sales Order.
- Check the items, quantities and prices that were copied over.
- Enter the Delivery Date.
- Click Save, then Submit.
Create directly
- Go to Selling > Sales Order and click + Add Sales Order.
- Choose the Customer, for example "Example Distributor PLC".
- Enter the Delivery Date, for example 2026-10-20.
- In Items, add each Item Code and Quantity, for example "Corn snack 50 g, cheese", 10 cartons. Check that the Rate came from the right price list.
- Choose the Delivery Warehouse (set on each row, or at the top with Set Source Warehouse), for example "Finished Goods - EF".
- In Taxes and Charges, choose the template "VAT 15%".
- Enter the customer's purchase order number in Customer's Purchase Order if they gave one.
- Check the Payment Schedule. It comes from the customer's payment terms.
- Click Save, then Submit.
What happens next
From the submitted sales order, the Create button gives you the next steps:
- Create > Delivery Note when the goods leave the store.
- Create > Sales Invoice when you bill the customer.
- Create > Payment if the customer pays in advance.
The status at the top shows progress, for example To Deliver and Bill, To Bill or Completed. The percentage delivered and billed is shown in the list view.
Good to know
- If the order is above the customer's credit limit, the system warns or blocks it. Your consultant sets up who can approve.
- To change quantities after submitting, use Update Items (if allowed for your role) or Cancel and Amend.
- If the customer cancels part of an order, use Close so the remaining quantity is no longer shown as pending.
- Your company may need approval before a sales order is submitted. Your consultant sets up any approval steps.
