Selling reports: what customers owe and what you sold

OLY ERP has ready-made reports for selling. Use them to follow up on unpaid invoices and to see what sells. All reports work the same way: open, set the filters, read, and export if needed.

Before you start

  • You need a role that can see the report (for example Accounts User or Sales Manager). Ask your system admin if a report does not open.

The main reports

Report What it answers
Accounts Receivable Which customers owe money, how much, and how old each invoice is.
Sales Register Every sales invoice in a period, with net amount, VAT and total.
Item-wise Sales Register Every invoice line: which item, quantity, rate and amount.
Sales Analytics Sales totals by customer, item or territory, per month or quarter.

Steps

  1. Type the report name in the search bar (Ctrl+G), for example "Accounts Receivable", and open it.
  2. Set the filters at the top. Common filters are Company, From Date and To Date (or Posting Date for Accounts Receivable), and Customer.
  3. The report refreshes when you change a filter.
  4. Click a column heading to sort. Click a document name to open it.
  5. To export, click the ... menu (or Menu) and choose Export. Choose Excel or CSV and click Export.
  6. To print, use Print or PDF from the same menu.

Examples

  • Who owes us money? Open Accounts Receivable, set today's date. The ageing columns (0-30, 31-60, 61-90 days and older) show which invoices are overdue. Filter by Customer "Example Distributor PLC" to call them about one balance.
  • What did we invoice last month? Open Sales Register, set From Date 2026-09-01 and To Date 2026-09-30. The VAT column shows the VAT you charged.
  • How many cartons of each snack did we sell? Open Item-wise Sales Register for the month and filter by Item Code, or export and total it in Excel.
  • Which customers are growing? Open Sales Analytics, set Tree Type to "Customer", Value or Qty to "Value" and Range to "Monthly".

Good to know

  • Only submitted documents appear in these reports. Drafts are not counted.
  • Credit notes appear with negative amounts and reduce the totals.
  • If a customer's balance looks wrong, check for payments not linked to invoices. They show as unallocated amounts.
  • Reports show data for the companies and branches your user is allowed to see. If figures look incomplete, ask your system admin to check your permissions.
