Deliver goods with a delivery note
A Delivery Note records the goods that leave your warehouse for a customer. When you submit it, OLY ERP reduces stock and updates the sales order. It also gives the driver and customer a printed document to sign.
Before you start
- A submitted Sales Order (recommended), or at least the customer and items.
- Enough stock in the warehouse. Check the Stock Balance report if you are not sure.
- If the item uses batches, know which batch you are sending.
Steps
- Open the submitted Sales Order.
- Click Create > Delivery Note. A new delivery note opens with the customer, items, quantities and prices copied.
- Check the Posting Date. It is the date the goods leave.
- Check Set Source Warehouse, for example "Finished Goods - EF".
- In each item row, change Quantity if you deliver less than ordered. For example, deliver 6 of 10 cartons now and the rest later.
- If the item uses batches, choose the Batch No in each row.
- Optional: in the Transporter section, enter the vehicle number and driver name.
- Click Save, then Submit.
- Click Print and give the printed copy to the driver for the customer to sign.
After you submit
- Stock in "Finished Goods - EF" goes down by the quantity delivered. You can see this in the Stock Ledger report.
- The sales order shows the delivered quantity. If you delivered part, it stays To Deliver and Bill for the rest. Create another delivery note from the same sales order later.
- To bill the customer, click Create > Sales Invoice on the delivery note.
Good to know
- If you see "Insufficient stock", there is not enough quantity in that warehouse (or in that batch) on the posting date. Check the warehouse, or ask the store to record the stock first.
- Do not make a delivery note directly for goods already on a sales order. Always use Create from the order, so the order stays correct.
- To take goods back from a customer, see Customer returns and credit notes.
- Some companies bill first and deliver later. Your consultant agrees the right order of steps with you during onboarding.
