Stock reports: balance, movements and ageing
OLY ERP has standard stock reports. They read from every submitted stock document, so they are always up to date. Use them to answer questions like "how much corn grits do we have?" or "why did the finished goods drop yesterday?"
Before you start
- You need the Stock User role, or another role your admin has given report access to.
- Only submitted documents appear in reports. Drafts do not count.
Steps
Open and filter a report
- Go to Stock in the sidebar. Scroll down to the Reports section, or type the report name in the search bar.
- Set the filters at the top: Company, From Date, To Date, Warehouse, Item or Item Group.
- The report refreshes when you change a filter.
- To export, click the menu (three dots) and choose Export. Choose Excel or CSV.
- To print or save as PDF, use Print from the same menu.
Which report to use
| Report | Answers the question |
|---|---|
| Stock Balance | How much of each item do we have in each warehouse, and what is it worth? Shows opening quantity, in, out and closing quantity for the period. |
| Stock Ledger | What happened to this item? One line per movement, with the document, date, warehouse and quantity after the movement. |
| Stock Projected Qty | What will we have? Shows actual quantity plus what is ordered from suppliers, minus what is reserved for customer orders. Use it before raising a material request. |
| Stock Ageing | How old is our stock? Groups quantities by age, so you find slow-moving or old goods. |
| Batch-wise Balance History | How much of each batch is in each warehouse? Use it to check expiry and pick oldest batches first. |
Example: check corn grits
- Abebe opens Stock Balance, sets Item to "RM-CORN-GRITS" and the dates to this month.
- He sees 1,230 Kg in "Raw Materials - EF".
- To see why it is lower than last week, he opens Stock Ledger with the same item and dates. Each line links to the source document. Click it to open the document.
Good to know
- Quantities are always in the stock unit (Kg, Pack, Roll), not in Bags or Cartons.
- The value in the reports uses the valuation rate. Your accountant uses this to check the stock accounts at month end.
- To share figures with a manager who has no stock access, export the report to Excel and send the file.
- If a number looks wrong, check for a draft document that was never submitted.
