Warehouses

A Warehouse in OLY ERP is a place where you keep stock. It can be a building, a room or just an area of the factory floor. Every stock movement goes into or out of a warehouse.

Before you start

• Your OLY ERP consultant creates the main warehouses during onboarding. You only add new ones when your physical setup changes.
• You need the Stock Manager role to add or change warehouses.

How warehouses are organised

Warehouses form a tree, like folders on a computer.

• A group warehouse is like a folder. It holds other warehouses. You cannot put stock in it. Example: "All Warehouses - EF".
• A normal warehouse (not a group) holds stock. Example: "Raw Materials - EF".

The short ending "- EF" is the company abbreviation. OLY ERP adds it automatically.

Steps

Add a warehouse

1. Go to Stock in the sidebar and open Warehouse.
2. Click + Add Warehouse.
3. Enter the Warehouse Name, for example "Cold Room".
4. Select the Parent Warehouse, for example "All Warehouses - EF".
5. Leave Is Group Warehouse unticked if you will keep stock here.
6. Check that Company is "Example Foods PLC".
7. Click Save.

See the tree

1. Open the Warehouse list.
2. Click the view switcher and choose Tree.
3. Click a group to open it and see the warehouses inside.

Good to know

• Make the warehouses match real places. If Abebe cannot point to it, it should not be a warehouse.
• Do not create too many warehouses. Each one needs its own stock count.
• You cannot delete a warehouse that has stock movements. If you stop using it, move its stock out and tick Disabled.
• Set the default warehouse on each item so documents fill it in for you. See the items page.
• Each warehouse has a stock account behind it. Your consultant links these during setup; do not change them yourself.
