Buying reports: what you owe and what you bought

OLY ERP has ready-made reports for buying. Use them to plan supplier payments and to see what you spend on materials. Each report works the same way: open it, set the filters, read, and export if needed.

Before you start

  • You need a role that can see the report (for example Accounts User or Purchase Manager). Ask your system admin if a report does not open.

The main reports

Report What it answers
Accounts Payable Which suppliers you owe, how much, and how old each invoice is.
Purchase Register Every supplier invoice in a period, with net amount, VAT and total.
Purchase Analytics Purchases by supplier, item or item group, per month or quarter.

Steps

  1. Type the report name in the search bar (Ctrl+G), for example "Accounts Payable", and open it.
  2. Set the filters at the top: Company, the date (Posting Date, or From Date and To Date) and Supplier if you want one supplier.
  3. The report refreshes when you change a filter.
  4. Click a column heading to sort. Click a document name to open it.
  5. To export, open the ... menu (or Menu), choose Export, pick Excel or CSV and click Export.
  6. To print, choose Print or PDF from the same menu.

Examples

  • Which suppliers must we pay this week? Open Accounts Payable with today's date. Sort by Due Date. The ageing columns (0-30, 31-60, 61-90 days and older) show overdue amounts.
  • What did we buy last month and how much VAT did we pay? Open Purchase Register with From Date 2026-09-01 and To Date 2026-09-30. The VAT column shows the VAT you can claim.
  • How much do we spend on corn grits and film? Open Purchase Analytics, set Tree Type to "Item", Value or Qty to "Value" and Range to "Monthly".
  • Who is our biggest supplier? Use Purchase Analytics with Tree Type "Supplier".

Good to know

  • Only submitted documents are counted. Drafts are not included.
  • Debit notes appear with negative amounts and reduce the totals.
  • If a supplier balance looks wrong, check for payments not linked to invoices.
  • Reports show data for the companies and branches your user is allowed to see.
