Quality checks (quality inspection)

A Quality Inspection records a check on an item: what you tested, the readings, and whether the item is Accepted or Rejected. Food producers use it for incoming ingredients and for each finished batch.

Before you start

  • Agree with your quality team which items need checks and what the limits are.
  • Your consultant sets what OLY ERP does when a check is missing or rejected (warn or stop).

Steps

Set up a template (once per type of check)

  1. Search for Quality Inspection Template and click + Add.
  2. Enter a name, for example "Corn grits - incoming".
  3. Add a row for each Parameter, for example "Moisture". Parameters you have not used before must first be created as a Quality Inspection Parameter.
  4. For a measured value, tick Numeric and enter Minimum Value and Maximum Value, for example 10 and 14 (%).
  5. For a yes/no check (for example "Smell normal"), leave Numeric unticked and enter the Acceptance Criteria Value, for example "Yes".
  6. Click Save.

Tell OLY ERP which items need checks

  1. Open the Item and go to the Quality section.
  2. For raw materials, tick Inspection Required before Purchase. For products you sell, you can tick Inspection Required before Delivery.
  3. Choose the Quality Inspection Template.
  4. For checks after production, open the product's BOM, tick Quality Inspection Required and choose the template.
  5. Click Save.

Check incoming raw materials

  1. Abebe saves the Purchase Receipt as a draft (do not submit yet).
  2. Click Create > Quality Inspection(s) and pick the items to check.
  3. The quality officer enters the Sample Size, the Batch No and the readings.
  4. OLY ERP sets each reading and the overall Status to Accepted or Rejected.
  5. Click Save, then Submit. Then submit the purchase receipt.

Check finished goods

  1. After Finish on the work order, save the Manufacture stock entry as a draft.
  2. Because the BOM asks for a check, the stock entry has Inspection Required ticked. Click Create > Quality Inspection(s) and pick the finished good.
  3. Enter the readings for the batch, for example pack weight, seal strength, taste.
  4. Submit the inspection, then submit the stock entry.

Good to know

  • A rejected lot should not go into production or to customers. Move it to "Rejected - EF" and record what you decide.
  • Take readings from real samples on the day. Do not type the limits as readings.
  • The Quality Inspection Summary report lists inspections and their results for a period.
  • Keep templates simple: 3 to 6 parameters people really measure.
