OLY ERP Docs

The Holiday List tells OLY ERP which days are not working days. The Shift Type tells it the working hours. If either is wrong, people are marked absent on a holiday, or overtime is counted against the wrong end time.

Before you start

  • Know your official public holidays for the year. Some Ethiopian holidays move each year, such as Eid and Easter. Confirm the dates when they are announced.
  • Know your weekly day off and your working hours for each group of staff.

Update the holiday list

  1. Search for Holiday List and open your list for this year (for example "Example Foods 2026").
  2. Check From Date and To Date cover the full year.
  3. To add the weekly day off for the whole year, select the Weekly Off day and click Add to Holidays.
  4. In the Holidays table, add each public holiday: the Date and a Description.
  5. Click Save.

Make next year's list before the year starts. Your consultant links it to the company and employees.

Shift types

A Shift Type has a Start Time and End Time, and the Holiday List it uses. If you use check-in devices, your consultant also sets:

  • Enable Auto Attendance, so attendance is made from check-ins.
  • Late Entry Grace Period and Early Exit Grace Period.
  • Working Hours Threshold for Half Day and Working Hours Threshold for Absent.

Do not change these settings during a payroll month without telling your consultant.

Give an employee a shift

  • For the normal shift, set Default Shift on the Employee.
  • For a different shift on some days, create a Shift Assignment: Employee, Shift Type, Start Date and End Date. Then Submit.

Always give a Shift Assignment an End Date unless the change is permanent. An open assignment keeps applying every day after.

Example

Example Foods PLC works 08:00 to 17:00, Monday to Friday, and 08:00 to 12:00 on Saturday. Abebe moves to the night packing shift for two weeks. Selam creates a Shift Assignment for Abebe with the "Night Packing" Shift Type, Start Date 2026-10-19 and End Date 2026-11-01.

Good to know

  • One branch can have a holiday the other does not. Then each branch needs its own Holiday List. Never add a local holiday to the shared list.
  • If you change a holiday after the day has passed, tell your consultant. Attendance for that day may need to be recalculated.
  • Work on a holiday is usually paid at a higher overtime rate. That is why the holiday list must be right.
  • Check the shift on new employees in their first week. A wrong shift means wrong late marks and wrong overtime.
